At Chairmans Furniture Solutions, we supply educational, office and collaborative furniture to schools, businesses and organisations across South Africa.
Because many of our orders involve multiple products, large quantities, custom furniture, delivery requirements and installation, our website operates primarily on a request-for-quotation basis.
This means that submitting a quotation request does not automatically create a purchase or require payment. We will first review your requirements and provide a quotation containing the applicable products, pricing, delivery and installation arrangements.
1. How Our Ordering Process Works
Our online purchasing process generally works as follows:
- Select the products you are interested in and add them to your quotation request.
- Submit your quotation request with your contact and project details.
- Our team reviews your requirements and confirms any additional information required.
- We prepare and send you a quotation.
- You review and accept the quotation if you wish to proceed.
- Once the order is confirmed, we arrange production, preparation, delivery and/or installation as applicable.
No online payment is required when submitting a quotation request.
Payment terms, including any deposit or payment required before delivery, will be communicated in the applicable quotation or order documentation.
2. Delivery Areas
We provide delivery services within South Africa, subject to the destination, product type, order size and logistical requirements.
Delivery availability to specific locations will be confirmed as part of the quotation process.
For locations that are difficult to access or outside our standard delivery areas, additional delivery arrangements or charges may apply.
3. Delivery Costs
Delivery costs are generally calculated based on the requirements of the specific order rather than being a fixed online shipping charge.
Factors that may affect delivery costs include:
- Delivery location;
- Order quantity and volume;
- Product dimensions and weight;
- Number of deliveries required;
- Access to the delivery site;
- Special handling requirements;
- Installation requirements; and
- Other site-specific requirements.
The applicable delivery cost will be included in your quotation where delivery is requested.
4. Delivery Lead Times
Delivery lead times depend on product availability, order quantity, manufacturing requirements, supplier availability, customisation and delivery location.
An estimated lead time will be communicated in the quotation or order confirmation where applicable.
Unless specifically confirmed in writing as a guaranteed delivery date, stated delivery dates are estimates.
We will make reasonable efforts to meet the agreed delivery timeframe and will communicate material delays where reasonably possible.
5. Large Orders and School Projects
Large school, office or commercial projects may require additional planning before delivery.
This may include:
- Multiple delivery dates;
- Phased deliveries;
- Site inspections;
- Room or classroom planning;
- Product staging;
- Installation scheduling; or
- Coordination with the customer’s staff or contractors.
Where these requirements apply, the arrangements will be agreed with the customer and reflected in the applicable quotation or project agreement.
6. Delivery Access Requirements
Customers are responsible for ensuring that the delivery site is reasonably accessible and ready to receive the goods.
This may include providing:
- Suitable vehicle access;
- Loading and unloading access;
- Clear entrances and passageways;
- Suitable parking or loading areas;
- Working lifts where required;
- Access to the intended installation area; and
- Any required building or site permissions.
If delivery or installation cannot reasonably be completed because of site access or readiness issues, additional costs or rescheduling may apply where permitted by the applicable quotation or agreement.
7. Installation
Installation can be provided for applicable orders where this service has been included in the quotation.
Installation services may include assembly, positioning and installation of the furniture specified in the quotation.
Unless specifically included, installation does not include:
- Electrical work;
- Plumbing;
- Building alterations;
- Structural modifications;
- Flooring alterations;
- Removal of existing fixed structures; or
- Other building or contractor services.
Any additional work required will be discussed with the customer before it is undertaken.
8. Delivery Inspection
Customers should inspect products upon delivery where reasonably possible.
If products appear damaged, incorrect or incomplete, please notify our team as soon as reasonably possible and provide photographs or other supporting information where available.
Reporting an issue promptly helps us investigate the matter and arrange the appropriate remedy.
Nothing in this policy limits any consumer rights that cannot lawfully be excluded under applicable South African law.
9. Damaged Goods
If goods are damaged during delivery or arrive in a condition that does not comply with the agreed order, please contact us as soon as possible.
We may request:
- Your quotation or order number;
- Photographs of the damaged item;
- Photographs of the packaging;
- A description of the damage; and
- Any other information reasonably required to investigate the matter.
We will assess the issue and, where appropriate, arrange repair, replacement, collection, refund or another appropriate remedy in accordance with the circumstances and applicable law.
10. Incorrect or Missing Items
If you receive an item that does not correspond with the confirmed quotation or order, or if items are missing from the delivery, please contact us promptly.
We will investigate the discrepancy and, where applicable, arrange for the correct goods or missing items to be supplied.
11. Returns
Because our products are often supplied as part of larger projects, orders may involve specific quantities, configurations, finishes or custom requirements.
Returns are therefore handled according to the circumstances of the particular order and the rights available to the customer under applicable South African law.
If you would like to return a product, please contact us before sending the product back.
We will provide instructions regarding whether the product is eligible for return and how the return should be handled.
12. Defective Products
If a product is defective or does not meet the applicable quality or performance requirements, please contact us with details of the issue.
We will assess the product and determine the appropriate remedy in accordance with applicable consumer protection law, the circumstances of the transaction and any applicable manufacturer warranty.
Where a return, repair, replacement or refund is legally required, we will provide the applicable remedy.
13. Products Damaged Through Misuse
Products should be used in accordance with their intended purpose and any applicable care, assembly and usage instructions.
Damage caused by misuse, abuse, unauthorised modification, incorrect assembly, improper installation or use outside the intended purpose may not qualify for a return, repair or replacement, subject to any rights provided by applicable law.
14. Custom-Made Products
Some Chairmans products may be manufactured or configured specifically for a customer according to agreed dimensions, colours, materials, layouts or other specifications.
Custom-made or specially ordered products may not be suitable for return simply because the customer has changed their mind, subject to any rights that cannot legally be excluded.
Customers are encouraged to carefully review and approve specifications, dimensions, colours and other requirements before custom production begins.
Once custom production has commenced, changes or cancellation may result in additional costs where permitted by the applicable agreement and law.
15. Change-of-Mind Returns
Chairmans does not provide an automatic change-of-mind return policy for all products.
Furniture is often supplied specifically for a customer’s requirements, particularly where orders involve bulk quantities, customisation or project-specific specifications.
Any change-of-mind return will therefore be considered according to the nature of the product, the stage of the order, whether the product was specially manufactured or ordered, and applicable consumer law.
Nothing in this section is intended to limit a consumer’s statutory rights.
16. Cancellation Before Delivery
If you wish to cancel an order before delivery, please contact us as soon as possible.
Cancellation requests will be assessed based on the stage of the order, whether production or procurement has commenced, whether the products are custom-made or specially ordered, and the applicable terms of the quotation or order.
Where cancellation is permitted, any applicable refund or cancellation charges will be handled in accordance with the quotation, agreement and applicable law.
17. Cancellation of Custom Orders
Custom or specially manufactured products may enter production shortly after the order is confirmed.
Once production has commenced, cancellation or modification may not be possible without costs.
Any applicable cancellation costs will be communicated where relevant and will remain subject to applicable consumer protection law.
18. Refunds
Where a refund is applicable, the method and timing of the refund will depend on the circumstances of the transaction and the applicable payment arrangements.
As Chairmans operates primarily through a quotation process, payment arrangements are confirmed separately in the applicable quotation, invoice or order documentation.
A quotation request submitted through the website does not constitute a payment and therefore does not create a refund obligation by itself.
19. No Online Payment at Quote Stage
Our website may use WooCommerce to manage products and quotation requests, but customers are not required to make an online payment when submitting a quotation request.
Adding products to a quotation or submitting a quotation request does not mean that payment has been made or that the order has been automatically accepted.
Once a quotation has been prepared and accepted, payment terms will be communicated separately and will depend on the agreed order.
20. Collection
Collection from our premises may be available for selected orders by prior arrangement.
Customers collecting goods are responsible for ensuring that their vehicle is suitable for the size, quantity and weight of the goods being collected.
Collection arrangements must be confirmed with Chairmans before collection.
21. Delivery Delays
We make reasonable efforts to meet agreed delivery dates but certain circumstances may cause delays.
These may include:
- Manufacturing delays;
- Supplier delays;
- Stock availability;
- Transport disruptions;
- Severe weather;
- Industrial action;
- Road or access restrictions;
- Unexpected site conditions;
- Customer-requested changes; or
- Other circumstances outside our reasonable control.
Where a significant delay occurs, we will make reasonable efforts to communicate the revised expected timeframe.
22. Delivery Appointments
Where delivery requires a scheduled appointment, the customer must ensure that an authorised person is available to receive the delivery.
If a delivery cannot be completed because nobody is available or the site is inaccessible, a further delivery attempt may require additional charges where permitted by the applicable quotation or agreement.
23. Delivery and Installation for Local Schools
Chairmans may provide delivery and installation services to local schools where these services are included in the applicable quotation.
The scope of delivery and installation will be agreed before the order is confirmed.
For larger school projects, delivery and installation may be scheduled in phases to minimise disruption to the school environment.
24. Delivery of Unassembled Goods
Depending on the destination, order size and quotation, goods may be supplied unassembled to simplify transportation and reduce delivery requirements.
Where installation is not included, assembly instructions may be provided where applicable.
25. Furniture Quality and Variations
Furniture may contain reasonable variations in colour, grain, texture, finish or dimensions due to manufacturing processes, materials and supplier specifications.
Images displayed on the website are intended as a representation of the product and may not reproduce the exact colour or finish of the physical product on every display.
26. Returns Process
To request a return, please contact us using the details below and provide:
- Your name or organisation name;
- Quotation or order reference;
- Product details;
- Reason for the return request;
- Photographs where relevant; and
- Any other information reasonably required to assess the request.
Please do not send products back without first contacting us and receiving return instructions.
27. Return Transportation
Where a return is approved, the responsibility for return transportation and associated costs will depend on the reason for the return and the applicable legal requirements.
Where a product is defective, incorrectly supplied or otherwise requires a remedy for which Chairmans is responsible, we will make appropriate arrangements in accordance with applicable law.
Where a return is approved for another reason, return transportation arrangements and costs will be communicated before the return is arranged.
28. Consumer Rights
Nothing in this Shipping & Returns Policy is intended to remove, restrict or limit any rights that a consumer has under applicable South African law.
Where the Consumer Protection Act or another applicable law provides a consumer with a right to cancel, return, repair, replace or obtain a refund, that right will apply notwithstanding anything else contained in this policy.
Our policies are intended to explain our normal procedures and should not be interpreted as excluding mandatory consumer protections.
